Outdoor Adventures Trip Registration and Cancellation Information

The PreTrip Meetings are declared mandatory upon registration and in the confirmation email. They are also declared mandatory in the reminder email sent the Monday before the PreTrip meeting. If a participant is unable to attend the PreTrip Meeting, the participant must communicate that with either the Outdoor Coordinator or another of the Leadership Team (Ass. Director of Programs or Trip Leaders) BEFORE the time of the PreTrip Meeting.

Trip Leaders will communicate with a participant who is not present at a PreTrip meeting 5 minutes after the determined start time, and if a response is not received within 5 minutes from this email, then the participant will be considered absent.

Any absence not communicated prior will result in the participant being disqualified from the trip without the eligibility to receive a full refund.

In case of a medical or family emergency that prevents the participant from participating on an excursion AFTER the cut off time for the PreTrip Meeting/after the PreTrip Meeting, a participant must communicate with the Outdoor Coordinator with an explanation. This explanation does not need to be detailed but simply give the coordinator a reason for the refund. The condition for the refund remains at the discretion of the Outdoor Coordinator.

Weather will be monitored during the week leading to an excursion, but cancellation due to the weather can happen no earlier than two days prior to the departure of an excursion, up until the departure time.

In the event of a weather cancellation, all participants eligible for a refund will receive a full refund.

A transfer from one trip to another may be allowed with approval of the Outdoor Coordinator. Registration fee adjustments related to any transfers will be addressed on a case-by-case basis. A participant may only transfer once to another trip.
