Reservations and Scheduling

The University Center is moving to primarily online reservation requests.  This guide will take you through each step to submit an online reservation.  Complex or extraordinary events should be submitted online and the specific details and set-up needed can be added at a later time.  If you have questions at any time, please email uc.scheduling@tamucc.edu or call 361-825-5282 or call Kat at 361-825-3276.   

1. Go to https://universitycenter.tamucc.edu/scheduling.html and click on Online Reservation Request. 
   1. If you do not have an account, click the green Request An Account button on the right side of the screen.  After requesting the account, email uc.scheduling@tamucc.edu and state what department or organization you will make reservations for, such as CAB, Chemistry Club, Student Activities, etc.  This step must be completed before your account is activated!  
2. Click on Create a Reservation.

5. Click book now on the far right. 
6. Select the date and time of your event/meeting.  You can submit one reservation for multiple dates – this works best for meetings or a series of events (i.e. weekly meetings, monthly workshop series, etc.) 
   1. If the event is recurring (every week, two weeks, monthly, etc.), select Recurrence and you will set the recurring dates similar to how you do it in Outlook.  You can also select Random if your reservation is not on a regular schedule.   
7. Room search options 
   1. Click Search and it will pull up all available rooms in the University Center. 
   2. Under Let Me Search For A Room, click Add/Remove to select a certain set-up style (allows for multiple set-ups to be selected).  This option includes banner and poster spots available for reservation.  Add the number of people (use arrows or type a number).  Click Search. 
      1. A list of available spaces matching the criteria will show.

   1. Click the green + to select a room.   
   2. Enter the number of attendees and select a room set-up type in the pop-up.  Click Add Room.  The room you requested will now have a red -, which means it is no longer available.   
   3. At this point, if you need to add another date & time, follow the steps above to select another room.

    1. Click Next Step on top right. 
11. Search for a specific room by clicking I Know What Room I Want.  Type the room name and a matching room will pop up.  Select the room. If you do this, a pop up will ask you to enter the number of attendees and select the room set-up.  If that room is not available, it will show as No Space Available. 
12. Add A/V equipment to your reservation.  For computers/projectors, select the room’s computer set-up so the staff know to turn it on for your event.  Otherwise, computers/projectors are left off when not requested. 
    1. In the pop-up, click the + button to select 1.  Type any special instructions and click OK. 
    2. Click Next Step. 
13. Add Reservation Details.  Event Name category is what will show on the door event list and online.  Please complete all sections/categories.  If there will be any room/equipment/staffing charges for your event, please add account number in Billing Reference box. 
    1. Event Description – if you add a description, it will be visible to anyone looking at the calendar.  
    2. Please list other equipment box – specific requests can be listed here and will be added to the reservation.  This is where you can request a stage, pipe & drape, etc.  In this box, you can also state what time you need room access for set-up (for larger events, not needed for meetings) and clean-up.   
14. If you need to make any changes, click 1 Rooms or 2 Services at the top to navigate screens.  If going to 1, make sure the details on 2 are still correct before creating reservation.  
15. To cancel or restart a reservation, Click xRoom Request.  
16. Click Create Reservation.
