What it is: A record created by a user to highlight a student concern, make a referral, or recognize an achievement at any time.

What it is: A structured request used to collect academic or engagement feedback about students during a defined reporting period (e.g., 5th Week Course Progress Report)

What it is: Student profiles visible to faculty provide faculty with access to relevant information such as demographics, academic performance, and engagement history (e.g., advising visits and support interactions) for students enrolled in their courses. Academic details, such as grades, are limited to the courses they teach.

What it is: A view of updates, documentation, and intervention activity related to Alerts submitted for a student, including outreach efforts and progress made toward resolving a concern.

What it is: Scheduled or drop-in meetings used to provide student services, with documentation captured through Appointment Summary Reports.

Log in using the Navigate Faculty & Staff link through Single Sign On (SSO). Access is based on your role at the university, such as faculty assigned to courses or advisors assigned to advisees.

Access to Navigate is provided based on job responsibilities that involve supporting student success.

Requests are reviewed based on role alignment and the need for system tools such as alerts, messaging, appointments, or reporting.

Alerts are submitted to identify student needs. Staff review Alerts and determine whether follow-up is needed. If additional support is required, a Case is created to coordinate outreach, document actions, and ensure the student receives appropriate assistance until the concern is resolved or stabilized.

In many situations, multiple Alerts may be submitted for the same student across different courses or concerns. When these Alerts indicate a common or related issue, such as attendance concerns across multiple classes, staff may consolidate them into a single Case. This allows for a coordinated response and ensures support efforts are managed holistically, rather than as separate, isolated issues.

Real world example (how this actually plays out):

A student begins struggling in multiple classes during the same semester. A biology instructor submits an Alert because the student has stopped attending lab. Around the same time, an English instructor submits an Alert noting missing assignments, and a math instructor reports low quiz scores through a Progress Report.

Individually, each update shows a concern in a specific course. When student success staff review the information, they notice a pattern of academic difficulty across multiple classes. Instead of addressing each issue separately, they open a single Case for the student focused on academic support. An advisor is assigned to reach out, connect the student with tutoring resources, and monitor progress across all courses until the student is back on track.

Alerts are routed to appropriate staff for review and follow-up as necessary. Depending on the situation, this may include outreach to the student, documentation, or creation of a Case for coordinated support. In most instances, students will receive comments provided by the alert submitter.

Navigate access is provided to support employees whose work directly contributes to student success through advising, instruction, outreach, or coordinated support services.

Access requests are reviewed with consideration of role alignment and how Navigate will be used in day-to-day responsibilities. This includes whether the tools available in Navigate (such as alerts, messaging, appointments, or reports) are needed to support students effectively, how the system will be used in practice, and confirmation from a supervisor that access is appropriate for the role.

This approach helps ensure Navigate is used intentionally as a student success tool that supports communication, coordination, and care across campus.
