Information for Faculty & Academic Advisors

1. Planning & Research. Are you considering leading a study abroad program? Please review the proposal and approval process for lead faculty members.

2. Academic Approval of Faculty-Led Program. The academic approval process can take time, so it's important to start planning early in order to submit all paperwork by the Study Abroad Office deadlines for the semester in which you are planning to lead a program abroad. Here are the document templates that faculty complete to submit for approval of their course/program abroad.
   • Coversheet
   • Detailed Narrative
   • Justification Memo
   • Budget Worksheet 
3. Foreign Travel Approval Procedure. Once your Study Abroad Program is approved, the faculty leader will begin the Foreign Travel Approval Procedure. For more information on Faculty Foreign Travel, visit the TAMU-CC Travel page.
   • Travel Approval: Faculty leader sends one PDF copy with all the following documents to the Travel Office to request a Foreign Travel Approval: Travel@tamucc.edu
   • TAMU-CC Foreign Travel Export Control Checklist
   • TrainTraq Transcript indicating your completion of the following courses (Print the Transcript showing your name and UIN number):
     • No. 2111728 - International Travel Safety: Safe Passage Presentation.
     • No. 2111212: Export Controls & Embargo Training – Basic Course
     • No. 2113639: U.S. Foreign Corrupt Practices Act
   • Print a copy of International Travel Alerts: Alerts and warnings pages for your country. Make sure the country you want to travel to is deemed safe for undergraduate travel.
   • Reminder: You will send one PDF copy with these documents to the Travel Office to request your Foreign Travel Approval.
4. Foreign Travel Request. Once you have your Travel Approval, you will create a Travel Request in your Concur account. Submit a PDF copy with the following documents to Travel@tamucc.edu
   • The Faculty/Staff Foreign Travel Checklist
   • The Travel Approval from the Travel Office
   • All Documents from your Faculty-Led Proposal
   • Basic Itinerary of your Faculty-Led Program
   • TAMU-CC Foreign Travel Export Control Checklist which you've already completed
   • TrainTraq Transcript with your name and UIN number listed at the top
   • Copy of International Travel Alert
5. International Travel Approval for Students. All travel documents and approvals for student international travel are processed by the Study Abroad Office.

Do you have a student seeking guidance on course approvals and course equivalency information for a study abroad program?

• If you have any questions, please reach out to our office!
• There are some instances where students interested in studying abroad will seek advice from their academic advisor. These situations may include:
  • having questions concerning courses and their degree plan for the different program types we offer.
  • wanting to change their classes or add a minor to allow for a study abroad experience.
  • needing assistance and guidance to select courses equivalent to those at TAMU-CC if they are pursuing participation in a provide-led or exchange program
  • having you complete and sign the Course Approval form, which students are required to submit as part of their Study Abroad Application. We strongly encourage you to meet with these students to review their options before signing off on their approval form.
• If you meet with a student who is ready to begin the Study Abroad application process, please ask them to complete the Study Abroad Intent to Apply Form. From there, our office will add them to the Study Abroad Canvas Course where they can begin the application process.
